Warehousing, Inventory & Pick and Pack

11. How Pick and Pack Works in Hong Kong: From Order Receipt to Dispatch

Businesses searching for pick and pack services in Hong Kong often have products and orders but find that picking and packing take up time every day. Pick and pack turns an order into the correct parcel. The process may look simple, but every step from order receipt to carrier handover needs clear information to prevent wrong variants, missing items or duplicate dispatches.

How Pick and Pack Works in Hong Kong: From Order Receipt to Dispatch

Pick and pack starts with order confirmation

The warehouse first needs to know which orders are approved for processing. Order information should include the order number, SKUs, quantities, recipient details and packing instructions. Agree how cancellations and order changes will be communicated. If the address changes after picking has started, the brand should confirm whether the parcel can be stopped; updating the store record alone does not mean the change is complete.

Picking means retrieving the products for an order. Similar-looking products should have distinct SKUs, and bundles should state which individual items they contain. Confirm available inventory before picking. Orders with insufficient stock or unclear information should go back to the responsible person for a decision; staff should not substitute an item or ship fewer products without approval.

Packing needs repeatable standards

Whether a pick and pack service suits your brand depends on whether the packing requirements can be followed clearly. Provide a product-to-packaging guide, conditions for gifts in each order and images of variants that are easy to confuse. Before sealing a parcel, check the items and quantities and confirm that it is suitable for handover.

  • Similar variants: List differences in size, colour or version.
  • Multi-item orders: Explain when items should be combined or packed separately.
  • Promotional gifts: State eligibility, dates and what to do if a gift is out of stock.

The more specialised the requirement, the more important it is to confirm the service scope and charges instead of assuming every task is included in the basic process.

Dispatch needs a handover record

Packing is not the final step; the parcel still needs to be handed over for delivery, and dispatch information should be kept for follow-up. When assessing an order fulfilment service, ask how it confirms an order is received, pending or handed to the carrier. Packed does not mean delivered. If the carrier cannot collect the parcel, the provider and brand should also have a clear notification and rescheduling process.

Both multi-order ecommerce dispatch and recurring retail replenishment can be assessed based on the actual order mix. Preparing a representative group of orders usually explains the requirements better than giving an average order count alone.

How Kube can help

Kube provides pick and pack, order processing and dispatch arrangements. Bring your packing requirements and sample orders to discuss the workflow from order receipt to carrier handover.

A typical workflow has six steps

First, receive an order approved for processing. Second, confirm available inventory. Third, pick the products by SKU and quantity. Fourth, check the variants and item count. Fifth, pack according to the requirements. Finally, hand the parcel to the specified delivery service. If any information is unclear, mark the order as pending confirmation; the warehouse should not make sales decisions on the brand's behalf.

Use fixed instructions for bundles, gifts, inserts and special packaging. State the effective date, eligible orders and what to do if an item is unavailable. Tell the warehouse when a campaign ends so that outdated instructions are not applied to new orders.

Consider accuracy and speed together

Focusing only on speed can increase wrong variants, missing items and repacking. Record the time from order approval to carrier handover, as well as order errors and reasons for delays. Track routine and exception orders separately to see whether an issue comes from the process, information, inventory or workload.

When enquiring about a pick and pack service, provide five to ten representative orders, product photos, an SKU mapping and packing examples. This usually gives a more practical estimate than an average daily order count alone.
