Key handover points for Shopify warehousing and fulfilment
Before outsourcing, map the store's products to the warehouse SKUs. Products with different sizes, colours or bundles should not be distinguished by name alone. The brand should also specify which order statuses can be sent to the warehouse and how cancellations, address changes, stockouts and gifts are communicated.
Shopify order fulfilment involves transferring order information, but do not assume that every provider can synchronise with the store in real time. Whatever method is used, confirm the data fields, handover timing, how duplicate orders are identified and how dispatch information is returned to the brand. Specific system compatibility must be checked separately.
Test the workflow from inbound delivery to carrier handover
After goods are received, the provider checks them as agreed and arranges storage. Once an order is confirmed, the warehouse picks and packs the items before arranging carrier handover. The brand still makes decisions about product pricing, sales policies and customer communication; the warehouse carries out work according to confirmed instructions.
Prepare the following information for an initial discussion about Shopify pick and pack:
- SKU list, product dimensions and weights, and expected stock.
- Normal and promotional order ranges, items per order and common combinations.
- Packaging materials, gifts, special packaging and delivery destinations.
- The person responsible for order changes, stockouts and dispatch enquiries.
Testing a typical order, a multi-item order and a cancellation can help identify handover gaps.
When might outsourcing make sense?
If packing regularly delays product listings, customer service or marketing—or goods are taking up space that is not suitable for work—it may be time to compare options. Do not decide based only on order count. Product range, packing complexity and order fluctuations also affect the workload.
When comparing Shopify logistics providers, ask how they handle exceptions, provide inventory information and charge for additional work. Explaining real scenarios makes it easier to assess whether a partnership would reduce day-to-day coordination.
How Kube can help
Kube supports Shopify merchants with warehousing, inventory management, pick and pack, and dispatch arrangements. You can share sample orders with Kube to confirm information-transfer methods and task responsibilities before preparing for outsourcing.
Organise Shopify product information before the handover
Each colour, size or capacity that can be sold separately should have a clear SKU. For bundles, explain whether they are pre-assembled under a new SKU or built from individual items after an order is received. If product names in the store differ from those used by the warehouse, create a fixed mapping instead of relying on staff memory.
The brand should also decide which order status allows an order to be sent to the warehouse—for example, after payment is complete or only after manual confirmation. High-risk orders, pre-orders, stockouts, cancellations and address changes need their own rules so the warehouse does not start picking before an update arrives.
Test before a full launch
Test a normal order, a multi-item order, a bundle, a gift, a refund or cancellation, and a partial stockout. Check the SKUs, quantities, recipient information and packing instructions received by the warehouse. Then confirm which order statuses and tracking details Shopify receives after dispatch. The goal is not to eliminate every exception; it is to make sure each one has a clear process.
